TERMS AND CONDITIONS

These Terms and Conditions govern your access to and use of this website and the education, career, event, recruitment, partnership and related services offered by Projecthaus PLT (LLP0015491-LGN).

In these Terms and Conditions:

  • “Projecthaus,” “we,” “us” or “our” refers to Projecthaus PLT.
  • “Website” refers to www.projecthausplt.com and any related pages operated by Projecthaus.
  • “User,” “you” or “your” refers to any person or organisation accessing the Website, submitting an enquiry, registering for a programme or using our services.
  • “Student” includes prospective students, applicants and individuals receiving education or career guidance from Projecthaus.
  • “Partner Institution” means any university, college, education provider, training provider, employer, recruitment partner, travel provider or other organisation with which Projecthaus communicates or collaborates.


By accessing this Website, submitting an enquiry, registering for an event or programme, requesting our assistance or otherwise using our services, you acknowledge that you have read, understood and agreed to these Terms and Conditions.


Do not use the Website or our services if you do not agree with these Terms and Conditions.


1. About Projecthaus PLT


Projecthaus PLT is an education and career consultancy based in Johor Bahru, Malaysia.

Depending on the circumstances, our services may include:

  • Education and career guidance;
  • Course, university and college recommendations;
  • Malaysian and international student placement assistance;
  • University and college application support;
  • Scholarship and financial-aid guidance;
  • Student documentation and admission coordination;
  • International student guidance;
  • Career-pathway planning;
  • Internship, apprenticeship and graduate-employment introductions;
  • Education events, exhibitions and career programmes;
  • Institutional and education-agent partnerships;
  • Student recruitment and promotional services;
  • Global immersion and educational travel programmes;
  • Workshops, training, industry exposure and employability programmes; and
  • Other related education, career and partnership services.


The exact service provided will depend on the student’s needs, eligibility, chosen institution, programme requirements and any separate written proposal or agreement.


2. Eligibility and Users Under 18


You must provide accurate information when using our Website or services.


Students under 18 years of age must obtain the consent and involvement of a parent or legal guardian before:

  • Submitting an application;
  • Registering for a paid programme;
  • Making a payment;
  • Participating in travel or immersion activities;
  • Signing an agreement; or
  • Providing sensitive personal information.


Where required, Projecthaus may request parental or guardian consent, identification documents, medical information, emergency contact details or other supporting documents.


A parent or guardian who accepts these Terms on behalf of a minor agrees to supervise the minor’s use of our services and accepts responsibility for information, instructions and decisions provided on the minor’s behalf.


3. Free Education Guidance


Projecthaus provides general education guidance to students without charging a consultation or guidance fee unless a fee has been clearly disclosed and agreed upon in advance.


Free guidance may include:

  • Initial student profile assessment;
  • General course and career recommendations;
  • Information about suitable institutions;
  • Basic admission guidance;
  • General scholarship or financial-aid information; and
  • Assistance in understanding possible education pathways.


Free guidance does not mean that all third-party services, university charges, programme costs, travel arrangements or additional Projecthaus services are free.


Students may still be required to pay charges imposed by third parties, including:

  • University or college application fees;
  • Registration or enrolment fees;
  • Tuition fees;
  • Visa and immigration fees;
  • Medical examination and insurance fees;
  • Document translation, certification or courier fees;
  • Accommodation deposits;
  • Examination fees;
  • Airline tickets and transportation;
  • Event or programme participation fees; and
  • Other charges imposed by institutions, government authorities or service providers.


Any paid Projecthaus programme or service will be communicated separately before the student or organisation commits to it.


4. Nature of Our Guidance


Projecthaus provides information, administrative assistance, recommendations and coordination support based on:

  • Information supplied by the student or client;
  • Information provided by institutions and third parties;
  • Publicly available information;
  • Current programme requirements; and
  • Our professional understanding at the time the guidance is provided.


Our guidance is intended to help users make informed decisions. It does not replace independent legal, immigration, financial, medical or professional advice.


Users remain responsible for evaluating their options and making their own education, financial, career and travel decisions.


5. No Guarantee of Admission or Enrolment


Projecthaus may assist students in preparing and submitting applications. However, all admission, enrolment, credit-transfer and academic decisions are made by the relevant institution.


Projecthaus does not guarantee:

  • Admission into any university, college or programme;
  • Acceptance of an application;
  • Entry into a specific intake;
  • Approval of academic exemptions;
  • Credit transfers or advanced standing;
  • Acceptance of previous qualifications;
  • Availability of a particular course;
  • Graduation or academic success; or
  • Continued enrolment after admission.


An institution may reject, defer, cancel or impose additional conditions on an application at its discretion and in accordance with its policies.


6. Student Information and Documents


Students must provide information and documents that are accurate, complete, current and authentic.

This may include:

  • Identification documents;
  • Passports;
  • Academic certificates and transcripts;
  • English-language results;
  • Employment records;
  • Financial documents;
  • Medical information;
  • Visa history;
  • Personal statements;
  • Recommendation letters; and
  • Other documents requested by Projecthaus, an institution or a government authority.


Students must immediately notify Projecthaus if any information changes or if an error is discovered.


Projecthaus may refuse, suspend or discontinue assistance where:

  • False, altered or misleading information is provided;
  • Required documents are withheld;
  • The student fails to meet deadlines;
  • Fraud or misconduct is suspected;
  • The student requests Projecthaus to make a false statement;
  • The student behaves abusively toward our staff or partners; or
  • Continuing the service may breach a law, regulation or institutional requirement.


Projecthaus is not responsible for delays, rejections, losses or penalties arising from inaccurate, incomplete, fraudulent or late information supplied by a student or third party.


7. Course, Fee and Institution Information


Projecthaus takes reasonable care when communicating information about:

  • Courses;
  • Entry requirements;
  • Intakes;
  • Tuition fees;
  • Scholarships;
  • Accommodation;
  • Programme duration;
  • Campus location;
  • Internship opportunities; and
  • Other institutional matters.


However, institutions may change their programmes, requirements, fees, scholarship structures, intake dates, facilities or policies without prior notice.


Information displayed on the Website, brochures, social media, presentations, proposals or messages is general information and may not reflect the latest institutional decision.


Students must rely on the official offer letter, fee schedule, invoice, policy or written confirmation issued by the relevant institution when making a final decision.


Where there is a difference between Projecthaus marketing material and an institution’s official document, the institution’s official document will take priority.


8. Scholarships and Financial Assistance


Projecthaus may provide information and assistance relating to scholarships, sponsorships, grants, loans, financial aid or payment plans.


Scholarship and financial-assistance decisions are made by the relevant institution, government body, sponsor, financial organisation or awarding authority.


Projecthaus does not guarantee:

  • Scholarship approval;
  • A specific scholarship amount;
  • Financial-aid eligibility;
  • Loan approval;
  • Continued scholarship entitlement; or
  • Approval within a particular period.


Scholarships and financial assistance may be subject to academic performance, attendance, conduct, nationality, income, documentation, deadlines and other conditions.


Students are responsible for reading and complying with the terms imposed by the awarding body.


9. International Students and Immigration


Projecthaus may provide general guidance and administrative coordination for international students, including support relating to admission documents, visa processes, accommodation and arrival preparation.


Visa and immigration decisions are made exclusively by the relevant immigration authority, education authority, government agency or authorised processing body.


Projecthaus does not guarantee:

  • Visa approval;
  • Visa processing time;
  • Entry into Malaysia or another country;
  • Approval of a student pass;
  • Immigration clearance;
  • Renewal of any visa or pass; or
  • Approval for a dependant or accompanying family member.


Processing times may be affected by government procedures, security checks, document verification, medical results, institutional processing, public holidays or other circumstances outside our control.


Students must:

  • Maintain a valid passport;
  • Provide genuine and complete documents;
  • Comply with immigration requirements;
  • Attend required medical examinations;
  • Observe visa and student-pass conditions; and
  • Avoid making non-refundable travel arrangements before receiving the necessary approvals.


Projecthaus will not be responsible for a rejection, delay, cancellation, deportation, travel restriction or financial loss caused by an immigration decision or the student’s failure to comply with applicable requirements.


10. Career, Internship and Employment Support


Projecthaus may introduce students and graduates to employers, internship providers, apprenticeship opportunities, industry partners or recruitment contacts.


Our role may include:

  • Sharing available opportunities;
  • Forwarding a candidate’s profile;
  • Coordinating introductions or interviews;
  • Providing employability guidance; and
  • Connecting candidates with industry partners.


Projecthaus is not the employer unless expressly stated in writing.


We do not guarantee:

  • An interview;
  • Internship placement;
  • Apprenticeship placement;
  • Employment;
  • A particular salary;
  • A job within a specific industry;
  • Continued employment; or
  • Successful completion of an employer’s selection process.


All hiring decisions are made by the employer. Candidates are responsible for reviewing employment terms, job descriptions, salaries, benefits, working conditions and contractual obligations before accepting an offer.


Projecthaus is not responsible for the conduct, employment practices or decisions of an independent employer.


11. Events, Workshops and Educational Programmes


Projecthaus may organise or promote education fairs, career events, workshops, seminars, campus visits, training sessions, industry programmes and other activities.


Event details may be changed when reasonably necessary, including:

  • Date;
  • Time;
  • Venue;
  • Speaker;
  • Schedule;
  • Programme content;
  • Delivery method;
  • Participating institution; or
  • Available activities.


Projecthaus may postpone, relocate, modify or cancel an event due to low participation, venue issues, speaker availability, institutional requirements, safety concerns, government restrictions or circumstances outside our reasonable control.


Registration does not always guarantee admission where attendance is subject to capacity, eligibility, confirmation or security requirements.


Participants must follow venue rules, safety instructions and reasonable directions given by organisers.


Projecthaus may remove a participant who behaves dangerously, unlawfully, abusively or disruptively. 


No refund will be due where removal results from the participant’s misconduct, subject to applicable law.


12. Global Immersion and Educational Travel Programmes


Projecthaus may offer global immersion programmes, study visits, campus visits, industry exposure, cultural activities and educational travel programmes, including programmes operated under the VedaNexa brand.


Each programme may be governed by a separate:

  • Proposal;
  • Booking form;
  • Participant agreement;
  • Institutional agreement;
  • Payment schedule;
  • Cancellation policy;
  • Itinerary;
  • Consent form;
  • Medical declaration;
  • Code of conduct; or
  • Safety and travel policy.


Participants must satisfy all stated passport, visa, medical, insurance, age, consent and travel requirements.


Programme itineraries may be adjusted due to weather, transportation, institutional availability, immigration requirements, safety concerns or other operational reasons.


Flights, hotels, transport, insurance, attractions and other travel arrangements may be supplied by independent third-party providers. Their own terms and conditions may also apply.


Projecthaus will take reasonable steps to coordinate the programme but cannot guarantee that every activity will proceed exactly as originally scheduled.


13. Payments


Where payment is required, the applicable fee, currency, due date and payment method will be stated in an official quotation, invoice, proposal, registration form or agreement.


Payments must only be made:

  • To an official Projecthaus PLT bank account;
  • Through an authorised payment method identified by Projecthaus; or
  • To an authorised third party clearly confirmed by Projecthaus in writing.


Education agents, representatives, introducers and other third parties are not authorised to collect money on behalf of Projecthaus unless Projecthaus has expressly confirmed that authority in writing.


Before making a payment, users should verify the payment details through Projecthaus’s official contact channels.


Projecthaus will not be responsible for payments made to an unauthorised individual, personal account, fraudulent account or unverified third party, except where responsibility cannot legally be excluded.


Bank charges, currency-conversion charges, international-transfer costs and card-processing fees may be payable by the sender unless otherwise stated.


14. Cancellations and Refunds


Refund eligibility will depend on:

  • The type of service or programme;
  • The applicable written agreement;
  • The date of cancellation;
  • Costs already incurred;
  • Third-party cancellation terms;
  • Institutional policies; and
  • Applicable Malaysian law.


Any specific refund, cancellation or replacement policy communicated in an official proposal, invoice, application form, registration form or programme agreement will apply to that transaction.


Certain payments made directly to universities, colleges, immigration authorities, airlines, hotels, insurers or other third parties may be non-refundable or subject to the third party’s policy.


Where Projecthaus receives money on behalf of a paid programme, any approved refund will ordinarily be returned using the original payment method or another verified method.


Nothing in these Terms removes or limits any refund, remedy or consumer right that cannot lawfully be excluded under Malaysian law.


15. Institutional and Business Partnerships


Institutional collaborations, education-agent appointments, recruitment arrangements, marketing projects and business-to-business services may be governed by a separate written agreement.


The separate agreement may include:

  • Scope of services;
  • Territory;
  • Student-recruitment responsibilities;
  • Marketing obligations;
  • Commission;
  • Payment arrangements;
  • Data protection;
  • Confidentiality;
  • Intellectual property;
  • Compliance requirements;
  • Duration;
  • Termination; and
  • Dispute-resolution procedures.


Where a separate signed agreement conflicts with these Website Terms and Conditions, the separate agreement will take priority for the matters it covers.


Nothing displayed on the Website automatically creates an agency, joint venture, employment, franchise, exclusive representation or legal partnership between Projecthaus and another organisation.


16. Website Use


You may use the Website only for lawful purposes.

is owned by or licensed to Projecthaus and is protected by applicable intellectual-property laws.

You may view and share publicly available Website pages for personal and non-commercial purposes.


You may not reproduce, modify, distribute, publish, sell, license, remove branding from or commercially exploit Projecthaus content without prior written permission.


Third-party trademarks, university logos and other partner materials remain the property of their respective owners.


19. User-Submitted Content


Where you submit a testimonial, review, photograph, video, comment or other content, you confirm that:

  • The content is accurate to the best of your knowledge;
  • You have the right to submit it;
  • It does not infringe another person’s rights;
  • It is not unlawful, defamatory or misleading; and

Projecthaus will not use a student’s photograph, video or testimonial for public marketing where specific consent is legally required unless the appropriate consent has been obtained.


Permission to publish marketing content may be withdrawn for future use by contacting Projecthaus, subject to material already printed, distributed or lawfully published.


20. Communications


By submitting an enquiry or requesting our services, you authorise Projecthaus to contact you regarding your enquiry through reasonable communication channels, including:

  • Telephone;
  • Email;
  • WhatsApp;
  • SMS;
  • Online meeting platforms; and
  • Social-media messaging.


Service-related communication may include application updates, document requests, programme information, deadlines, event information and follow-up guidance.


Promotional or marketing communication will be managed in accordance with applicable law and your communication preferences. You may request to stop receiving promotional messages at any time.


You are responsible for ensuring that the telephone number and email address provided belong to you or that you have permission to use them.


21. Personal Data


Projecthaus processes personal data in accordance with its Privacy Policy and applicable Malaysian personal-data laws.

24. Limitation of Liability


To the fullest extent permitted by Malaysian law, Projecthaus will not be responsible for indirect, incidental, special or consequential loss arising from:

  • A decision made by a university, college, employer, government authority or service provider;
  • Incorrect information supplied by a user or third party;
  • Missed deadlines caused by the user;
  • Visa or immigration rejection;
  • Scholarship or financial-aid rejection;
  • Course, fee or intake changes made by an institution;
  • Loss or delay caused by a travel provider;
  • Unauthorised payments;
  • Website interruption;
  • Third-party website use; or
  • Events beyond Projecthaus’s reasonable control.


Where Projecthaus is legally liable in connection with a paid service, its liability will, to the extent permitted by law, be limited to the amount paid directly to Projecthaus for the specific service giving rise to the claim.


This limitation does not apply where liability cannot be limited under Malaysian law or where loss results from fraud, wilful misconduct or another matter for which exclusion is prohibited.


25. User Responsibility and Indemnity


You are responsible for your own breach of these Terms and for unlawful, fraudulent or misleading information submitted through our Website or services.


To the extent permitted by law, you agree to compensate Projecthaus for reasonable losses, claims or expenses arising directly from:

  • Your fraudulent conduct;
  • Your deliberate violation of these Terms;
  • Your infringement of another party’s rights; or

This clause does not require a consumer to compensate Projecthaus for losses caused by Projecthaus’s own negligence, breach or unlawful conduct.

  • Floods;
  • Fires;
  • Epidemics or pandemics;
  • Government restrictions;
  • Immigration or border closures;
  • War, terrorism or civil disorder;
  • Transportation disruption;
  • Airline cancellation;

  • Cyber incidents;
  • Industrial action;
  • Venue closure;
  • Institutional closure; or
  • Failure of a third-party provider.


Where reasonably possible, we will communicate material changes and take appropriate steps to minimise disruption.


27. Changes to These Terms


Projecthaus may update these Terms and Conditions to reflect changes in:

  • Legal requirements; or

Changes will not retrospectively remove rights that have already arisen under an existing transaction unless permitted by law or agreed by the parties.

Termination will not affect any rights, payment obligations or liabilities that arose before termination.


29. Severability


If any provision of these Terms is found to be invalid, unlawful or unenforceable, that provision will be interpreted or limited to the minimum extent necessary.


The remaining provisions will continue in full force.


30. No Waiver


A failure or delay by Projecthaus in enforcing any provision of these Terms does not mean that Projecthaus has waived that provision or any related right.


31. Entire Agreement and Priority of Documents


These Terms, together with the Privacy Policy and any applicable registration form, proposal, invoice, booking condition or signed agreement, form the agreement governing the relevant service.


Where documents conflict, the following order of priority will generally apply:

  1. A specifically negotiated and signed agreement;
  2. An official programme proposal or booking agreement;
  3. An official invoice or registration form;
  4. These Terms and Conditions; and
  5. General marketing or promotional material.


32. Governing Law and Disputes


These Terms and Conditions are governed by the laws of Malaysia.


Before beginning formal legal proceedings, both parties should first attempt to resolve a dispute through good-faith communication.


A consumer may use any complaint or dispute-resolution process available under Malaysian law.

Where a dispute cannot be resolved and no mandatory alternative process applies, the matter will be subject to the jurisdiction of the courts of Malaysia.
